As a learning leader, there will continue to be plenty of opportunities for you to present a business case. Perhaps you have new ideas or initiatives that need stakeholder support. Maybe you need additional resources — budget, headcount, or technology. Whatever the situation, a well-constructed business case is the vehicle to get there.
When to Prepare a Business Case
The author recommends developing a business case in these situations:
- Lacking necessary resources
- Requiring additional staff or budget
- Identifying performance gaps that training could address
- When stakeholders expect formal documentation
- When presenting to senior leadership
The Three Key Elements
1. Background and Business Need
This foundational section articulates the challenge or performance problem that your initiative will address. This is often the most challenging section to write, as it requires clearly communicating why the initiative matters — even to readers unfamiliar with the context. Support your claims with data wherever possible.
2. Project Overview
This section should include:
- Deliverables and objectives
- Timeline and key milestones
- Project team composition
- Estimated costs
3. Impact and The Ask
This element demonstrates the solution's importance and specifies what you are asking stakeholders for. Illustrate the consequences of not acting to strengthen the case. Be explicit about what support is needed from each stakeholder.
